Job Summary
Responsible for the oversight and administration of grant awards and grant applications made by the Sandra Dunagan Deal Center for Early Language and Literacy. The incumbent will serve as the program officer to grantees to manage their awards and deliverables by monitoring awards for compliance with Deal Center requirements, local and state regulations, Board of Regents policies, and ensure compliance with Chapter II of the Code of Federal Regulations Part 200. The incumbent will serve as the liaison to grantees to oversee award reconciliation, process invoices, and ensure that grantees comply with grant-specified reporting requirements. The incumbent provides technical assistance to grantees to support
proposal preparation, submission, and preparation of mid-term and final grant reports. The incumbent will be instrumental in efforts to create and implement regulatory protocols for grantees while providing outstanding customer service and participate in a collaborative effort to streamline and automate processes and establish standard operating procedures related to grant administration.
Responsibilities
Project Management - 30
Provides oversight for award management activities as it relates to the development, management, reporting, and closeout of grants awarded and grants applied for on behalf of the Deal Center. Develops and negotiates contracts and amendments, ensuring relevant terms and conditions are included, and routes agreements for internal review, draft, and approval. Negotiates terms and conditions of award modifications, extensions, and budget amendments; prepares budget amendments requests for draft and approval. Drafts and submits Institutional Review Board (IRB) applications as needed and manages this process. Monitors award accounts/data in PeopleSoft queries and other reporting tools to extract and analyze data and assists PIs in resolving account discrepancies.
Coordinating - 20
The incumbent will ensure processes, documents, procedures, and implementation are executed professionally, efficiently, and consistent with best practices. The incumbent will work closely with research, programs, and administrative teams to coordinate grant cycles from start to finish. The incumbent will work closely with the Administrative Office Manager on contract process, payment process, amendment process, and marketing of the grants. The incumbent will coordinate grant launches, award acceptance and declines, and notification procedures. Review awards and contractual agreements to verify terms and conditions are acceptable; negotiates necessary revisions with the awardee or sponsor; requests proper paperwork for vendor setup
Financial Management - 20
Maintains the official financial file for active grants. Assists with award proposals to contracts to fully executed agreements and vendor setup. Receives and processes invoices received as outlined in award executed agreement terms and conditions and deliverables. Queries and analyzes financial data for reporting and monitoring purposes; follows up regarding outstanding receivables and deliverables. At grant closeout, ensures all deliverables have been met and all items submitted according to contractual agreements of the grant.
Reporting - 10
Ensures grantee deliverables and reporting requirements are fulfilled in a timely and efficient manner within the University and Deal Center parameters. Prepares and submits financial reports (quarterly, annually, and final) to grant sponsors per award terms and conditions. Prepares grant related materials for Committee and Board Meetings.
Liaison - 20
The incumbent will be the point of contact on the grants awarded and applied for with internal and external partners. This will include maintaining and adding to our stakeholder database and grant files as new partnerships are made. Represents the Deal Center and GCSU at national and regional conferences and meetings and attends workshops and seminars to improve working knowledge of research administration, sponsor terms and conditions, and federal regulations. This role may work with the GCSU grants office in securing grants for the Deal Center.
